Marketing Department Assistant

Family-owned Distributor of Fine Wine, Craft Beer and premium spirits seeking a FULL-TIME  Marketing Assistant in our office located in Commerce, CA.

Under general supervision, provides a wide variety of administrative and staff support to the Marketing department. Assist in preparation and control of records and reports regarding pricing and program data. Serves as administrative and communication liaison for Marketing with suppliers, sales, vendors and accounting. May assist in compiling various statistical information.

  • Marketing contract email – Reviews and responds to sales and supplier for requested contract setups and provides timely responses.
  • Assists in maintaining On-Premise/Independent Retail/National Account contract data base. (Including renewals, deletes, monitoring for accuracy and providing supplier/sales reports.)
  • Maintains schedules for key marketing projects and tracking of expenditures.
  • Maintains pricing schedules (PW – Pricing Worksheets) for requested suppliers.
  •  Maintains and reconciles Vendor Bank ledgers.  
  • Assists in validating graphic materials for accuracy and compliance prior to distribution.
  • Maintains Portfolio Management materials and information for statewide review.
  • Processes supplier bill backs for flyers, floor stock adjustments and advertising.
  • Data input support for material management. Inputs data on special programs, promotions and combos.
  • Sets-up and maintains product codes. Maintains item activity within the system {Active/Discontinued}.
  • Sets up and processes assigned CQD (Cumulative Quantity Discounts) programs and issues credit as applicable.
  • Assimilates and organizes products to be published in the Company Price Book
  • Examines purchase orders for discrepancies, accurate costs, vintages, and/or any other errors or omissions.
  • Interfaces with assigned suppliers and sales personnel to resolve pricing questions and inquiries.
  • Assists in special departmental projects.

Position Requirements:

  • Minimum 2 years’ experience in a support position.
  • Advanced in Microsoft Office: Word and Excel
  • Excellent written and verbal communication skills
  • Ability to work effectively with a diversity of individuals at all organizational levels
  • SAP experience preferred.
  • Superb command of written and spoken English.
  • Excellent telephone etiquette and customer service oriented.
  • Ability to work under minimum supervision.
  • Must be multi-tasked oriented, able to prioritize workload, and comprehend and apply pricing and programming applications.
  • Strong mathematical and analytical skills.
  • Accuracy in all assigned work a must.
  • Understanding of supplier bill backs, purchasing and accounting functionality.
